Refunds and rescheduling

This policy applies to paid technical analysis training with Virtualizeapis: private chart mentorship, small-group workshops, market structure intensives, and chart review sessions. It does not cover products we do not sell, such as software subscriptions or physical merchandise.

Eligibility overview

Refunds depend on how far in advance you cancel, whether a cohort seat can be refilled, and whether teaching time has already been delivered. Deposits may be partly non-refundable once dates are locked.

Timeframes

• Mentorship block — Cancel 14 or more days before the first session for a full refund of fees paid, minus any non-refundable deposit stated on your invoice (typically AUD $150). Cancellations inside 14 days forfeit the deposit; unused session fees may be credited toward a restart within three months at our discretion.
• Workshops and intensives — Cancel 10 or more days before the start date for a full refund. Inside 10 days, a 50% refund applies if the seat cannot be filled; if we fill your seat from a waitlist, we refund in full minus a AUD $40 admin fee.
• Chart review sessions — Cancel 48 or more hours ahead for a full refund. Later cancellations or no-shows are charged in full.

Partial refunds

If a mentorship block is interrupted after sessions have begun, we refund fees for undelivered sessions only, less the deposit where applicable. Completed sessions are not refundable.

Non-refundable items

• Stated non-refundable deposits after the free-cancellation window
• No-shows without notice
• Materials already prepared and sent for a personalised marking sheet once a mentorship has started (session fees for remaining meetings may still be adjusted)

Process

Email info@virtualizeapis.digital with your booking name, format, and dates. We confirm eligibility within five business days and process approved refunds to the original payment method within 10 business days of approval.

Rescheduling

One complimentary reschedule is allowed for mentorship sessions with at least 72 hours’ notice, subject to teacher availability. Workshops and intensives can be moved to a later published cohort if notice meets the cancellation window above; otherwise refund rules apply.

Work already started

Once a session has begun (including the first minutes of a video lesson), that session’s fee is earned. Chart reviews that start after you join late still consume the booked hour.

Exceptions

Serious illness or emergency may warrant goodwill credits; document the situation when you write to us. Statutory rights under the Australian Consumer Law remain unaffected where services are not provided with due care and skill.
